Why You Can't Invite Anyone to a Personal Workspace

A Personal workspace holds one person and cannot have members. Here is how to tell which kind of workspace you are in, what Shelf now shows you, and how to move to a Team workspace so you can invite people.

If you are trying to add someone to Shelf and cannot find the invite button, the reason is almost always the same: you are in a Personal workspace, and a Personal workspace holds exactly one person.

That is by design rather than a bug or a missing permission. It is also the single most common question our support desk gets, so this article explains how to tell, what changes, and how to move.

How to Tell Which Kind of Workspace You Are In

Open the workspace switcher at the top of the sidebar. It names the workspace you are currently in.

Then look at Settings → Team. In a Personal workspace you will see:

  • A panel headed "Inviting people needs a Team workspace", which expands to explain that "Personal workspaces are for one person. Team workspaces add teammates, shared custody, and bookings."
  • Users and Pending invites in the nav, shown but locked, with the tooltip "Inviting users is available on Team workspaces".
  • Non-registered members, which is the one Team page a Personal workspace can use.

Those locked items are deliberate. They used to be hidden entirely, and going to /settings/team/users directly bounced you to General settings with no explanation — which is what made this so hard to work out on your own.

Every Account Has a Personal Workspace

Every Shelf account is created with a Personal workspace, and it stays yours even after you join or create other workspaces. If you were invited to someone else's team, you have two workspaces: yours and theirs. Landing in the wrong one is common — see Can't Find Your Team Workspace?.

Two things are not available in a Personal workspace:

Non-registered members are not a workaround for this. They are name-only records for assigning custody to someone — a contractor, a student, a visitor — and they cannot log in, so they never see your workspace. If the person needs to open Shelf themselves, they need to be a user, and users need a Team workspace.

What Happens at Signup

When you create a Shelf account, the /welcome screen asks you to pick Personal or Team, and each card now says what the choice costs you rather than only what it offers. The Personal card reads: "For one person. You won't be able to invite teammates or use bookings. Includes 3 custom fields and branded QR labels."

If you told us during onboarding that more than one person will use Shelf, the Team option is pre-selected for you. Choose Personal anyway and Shelf shows a caution naming the team size you gave, with a one-click Switch to Team.

None of this locks you in. It is there because "you can always switch later" was doing a lot of unearned work: switching means creating a second, Team workspace, not converting the one you are in.

How to Get a Workspace You Can Invite People To

Go to Settings → Team. The button in that panel takes you to the right place for your account, and there are three cases:

You can also reach it from the workspace switcher: open it while you are in a Personal workspace and take Invite your team.

The result is a new Team workspace that you own. Your Personal workspace stays exactly as it is; nothing is converted and nothing is lost.

Moving Your Assets Across

Assets live in one workspace at a time, but you can copy them into the new one with a CSV round trip — export the selection in the Import-ready format, then import it in the Team workspace. FAQs

Can I convert my Personal workspace into a Team workspace?

No. A Team workspace is created alongside your Personal one, and you keep both. This is why the old "you can always switch later" wording was replaced — you switch workspaces, you do not convert one.

I am paying for Shelf. Why does it still say I cannot invite anyone?

Two different things decide this. Whether you can create a Team workspace comes from your plan, while the Audits and Alternative Barcodes add-ons are bought per workspace and can be active on a Personal workspace without changing your plan. So you can genuinely be a paying customer and still be sitting in a workspace that holds one person. Settings → Team always shows the correct next step for your account.

Does inviting people cost extra per person?

No. On the Team plan, user seats are unlimited and included in the base price. See pricing.

I invited someone and they cannot find the workspace.
