MaintainX is a strong CMMS. It is built to answer one question well: when does this machine need service, and who will do the work? Work orders, preventive maintenance, procedures, meters and parts are its core.
Many teams look at it for a different question: who has this equipment right now, and when does it come back? Tools that go out to job sites, laptops lent to staff, cameras and AV kits shared across a department. MaintainX's help center does not describe checking equipment out to people, booking it for future dates, or kits. And on its paid plans you pay for every person who logs in.
Shelf is built for that second question. Every item has a QR code, a custodian and a history. People book equipment for future dates, and Shelf blocks double bookings. Kits go out and come back as one unit. The Team plan includes unlimited users.

Overview: MaintainX vs Shelf
MaintainX became part of Autodesk in 2026 (Autodesk announcement). It charges per user. On MaintainX's pricing page, checked on 9 October 2026:
- Basic: free, with unlimited work orders and requesters, but only 2 active repeating work orders and limited assets
- Essential: $20 per user per month billed annually ($25 monthly)
- Premium: $65 per user per month billed annually ($75 monthly). Adds meter-based maintenance, parts inventory, purchase orders and the API
- Enterprise: custom pricing. Adds sensor integrations, SSO and multi-site tools
A user is anyone with a login who uses the app. Requester accounts, for people who only submit maintenance requests, are free. That is a real strength for reporting problems, but anyone who checks equipment in or out needs more than a request form.
Shelf is priced per workspace, not per person. The free plan has unlimited assets for one user. The Team plan is $67/month or $370/year with unlimited users, and adds bookings. See pricing.

Where Shelf Takes a Different Approach
1. Equipment that moves between people
A CMMS assumes the asset stays put and a technician comes to it. A pump, a boiler, a production line. Most shared equipment works the other way round: the drill goes to the job site, the laptop goes home with a new hire, the camera kit goes out for the weekend.
Shelf tracks that movement. Assign custody to a person, and the asset page shows who has it, since when, and everyone who had it before. Scan the QR code on the item and you see the same thing on a phone.

2. Bookings for shared equipment
When many people share the same gear, they need to reserve it ahead of time. Shelf's bookings reserve specific items, or a number of a model, for a date range. Shelf blocks a booking that would clash with another one, and check-out and check-in update custody in the same step. Overdue items are flagged so someone can follow up.

3. One price for the whole team
MaintainX's paid plans charge for every user with a login. Fifteen people on Essential cost $3,600 a year, and on Premium $11,700 a year, at the annual prices checked on 9 October 2026.
Shelf Team is $370 a year for the whole workspace, with unlimited users. Field staff, students, volunteers and contractors can each have their own login, so the history shows who actually took each item. Registered non-profits get 10% off Team and add-ons on annual billing.
4. Kits that come back complete
A tool kit or camera kit is many items that travel together. In Shelf, a kit is booked and checked out as one unit, and each item in it keeps its own record. When the kit comes back, you can see what is missing before the next person takes it.

When MaintainX May Be a Better Fit
MaintainX is the better choice when maintenance is the job:
- Preventive maintenance programs. Repeating work orders, maintenance plans and meter-based triggers keep machines serviced on schedule. Shelf has reminders, not a maintenance program.
- Technician teams. Assigning work orders, attaching procedures and checklists, and tracking time and cost per job is what MaintainX is built for.
- Parts tied to repairs. MaintainX links parts to work orders and raises purchase orders on Premium and up.
- Machine data. On higher plans, MaintainX connects to sensors and plant systems to open work orders automatically.
- Many people who only report problems. Free requester accounts let anyone submit a maintenance request.
Some teams use both: MaintainX for the machines their technicians maintain, Shelf for the tools and equipment their staff borrow and return.

How much does MaintainX cost?
On MaintainX's pricing page, checked on 9 October 2026, Basic is free, Essential is $20 per user per month billed annually ($25 monthly), Premium is $65 per user per month billed annually ($75 monthly), and Enterprise is a custom price. A user is anyone with a login who uses the app. Requester accounts, which can only submit requests, are free.
Is Shelf cheaper than MaintainX?
For tracking and sharing equipment, usually yes. Shelf Team is $370 a year with unlimited users. On MaintainX, the same $370 covers about one and a half users on Essential for a year. If you need work orders, preventive maintenance or purchase orders, compare against what you would have to replace: Shelf does not do those jobs. See pricing.
Does MaintainX have equipment check-out?
MaintainX's help center does not describe checking equipment out to people, returning it, or booking it for future dates. Its "check-in" is a location check that proves a technician is on site during a procedure. If check-out and bookings are what you need, that is Shelf's core.
Can I move my assets from MaintainX to Shelf?
Yes. In MaintainX, go to Reporting > Export Data > Assets and export to CSV. MaintainX's export guide says this export is on the Premium and Enterprise plans and for administrators only. Rename the columns to Shelf's headers (for example, the asset name column becomes title) and delete the columns you do not need, because Shelf stops an import that has a column name it does not know. Then use Shelf's CSV import. Categories, locations and tags are created for you. CSV import is on the Plus, Team and Enterprise plans.
Can I keep the QR codes or barcodes already on my equipment?
Yes. Turn on the Alternative Barcodes add-on on Team before you import, and add your existing codes in the barcode columns of the CSV. Shelf supports existing QR codes as well as Code128, Code39, EAN-13 and DataMatrix, so you do not have to re-label your equipment.
Does Shelf do preventive maintenance?
Not as a CMMS does. Shelf has asset reminders for inspections, service dates and returns, but it has no work orders, procedures or technician scheduling. If preventive maintenance is your main job, MaintainX is the better tool.
Does Shelf have a mobile app?
Yes. The free Shelf Companion app is on the App Store and Google Play. Use it to scan QR codes and barcodes, assign custody, check bookings in and out, and run audits. The full Shelf web app also works in any phone browser. See mobile app.
Is Shelf open source?
Yes. Shelf is AGPL-3.0 licensed, and the full codebase is on GitHub. You can use the hosted service at app.shelf.nu or run it on your own servers.
