Duplicate an Audit
Re-run a completed, cancelled, or archived audit on the same asset list — without rebuilding the scope by hand. Admins and owners can duplicate any terminal-state audit in one click.

Recurring audits — monthly stock counts, post-event verifications, quarterly compliance checks — usually run against the same asset list each time. Duplicating an audit takes a terminal-state audit (Completed, Cancelled, or Archived) and creates a fresh Pending copy with the same name, description, and asset selection, ready to scan.
Duplicate is available to Admin and Owner roles only, and only on audits that have already reached Completed, Cancelled, or Archived status. Pending and Active audits don't show the option — they have their own Edit and Cancel actions instead.
How to Duplicate an Audit
Step 1: Open the Audit You Want to Duplicate
From the audit list, click into any audit that has reached Completed, Cancelled, or Archived status.
Step 2: Open the Actions Menu
Click the actions menu (⋯) in the top-right of the audit overview page.
Step 3: Choose Duplicate Audit
Select Duplicate audit from the dropdown. Shelf opens a confirmation dialog showing how many of the original audit's assets are still available in your workspace.
Step 4: Review the Asset Count
The dialog shows one of three states depending on whether the original assets still exist:
- All assets available — every asset from the original audit is still in your workspace. The duplicate will include exactly the same scope. Click Duplicate to proceed.
- Some assets missing (yellow warning) — one or more of the original audit's assets have been deleted from your workspace since the source audit ran. The dropped count is shown explicitly (e.g. "3 of 19 original assets are no longer in your workspace and will be dropped from the new audit"). The duplicate still proceeds; only the missing assets are excluded.
- All assets missing (red error) — every asset from the original audit has been deleted. The Duplicate button is disabled. To audit the same area, create a new audit from scratch.
Step 5: Confirm
Click Duplicate audit to create the new session. Shelf redirects you to the new audit's overview page.
What Carries Over
The duplicate inherits from the source audit:
- Name — with a " (Copy)" suffix appended (e.g. "Studio B Q1 Check" → "Studio B Q1 Check (Copy)"). Rename it after creation if you prefer.
- Description — copied as-is.
- Scope metadata — the filter criteria (location, category, tag) used to build the original asset list.
- Asset list — every asset from the source audit that still exists in your workspace.
What Doesn't Carry Over
The new audit starts in a clean Pending state. It does not inherit:
- Assigned scanner
- Due date
- Notes added during the source audit
- Photos attached to source-audit assets
- Scan progress (Found / Missing / Unexpected statuses)
- Completion timestamp or PDF receipt
This means the duplicate is ready to scan from scratch — without the previous round's results muddying the new one.
When to Use Duplicate vs Create New
| Situation | Best action |
|---|---|
| Re-running the same scope you audited last month | Duplicate the previous audit |
| Same general area but different filter criteria | Create a new audit and rebuild the scope |
| Source audit lost all its assets (red error in the dialog) | Create a new audit from scratch |
| You want to keep the source audit's assignee and due date | Create a new audit (those don't carry over) |
Notes
- Source audit is unchanged — duplicating only copies. The original audit stays in its current state with all its data intact.
- Naming: rename the duplicate before assigning it to the next round of scanning so your team can tell the new session apart from the source.
- Missing assets aren't deleted from Shelf — the dialog only reports that some of the source audit's assets no longer exist. Use the Run Your First Audit guide if you need to audit a fresh scope.
