Asset Panda Pricing in 2026: Plans, Minimums and What It Really Costs

Short answer (checked 5 October 2026): Asset Panda does not publish prices on its website today. Its last public price list, archived in February 2026, started at $3,000 per year for 5 users and 1,000 assets, billed annually, before any onboarding fees. Third-party reports from 2026 still quote the same entry price.
We build Shelf, which competes with Asset Panda. So every number below carries its source and the date we checked it. Where sources disagree, we show both.
Asset Panda pricing at a glance
Asset Panda's pricing page now redirects to a form headed "Get a Quote", with the line "Get a personalized quote tailored to your organization's asset management needs." No prices appear on it (checked 5 October 2026).
Until early 2026 the same page did list prices. The Internet Archive copy from 26 February 2026 shows three plans and a seat price for view-only users. By the archive's next capture, on 8 April 2026, the page redirected to the quote form.
| Plan | Annual price | Users included (minimum) | Assets included | Each extra full user | Source | Checked |
|---|---|---|---|---|---|---|
| Starter | $3,000 | 5 | 1,000 | $600 a year | Asset Panda (archived), Bulbthings | 5 Oct 2026 |
| Business+ | $7,200 | 10 | 5,000 | $720 a year | Asset Panda (archived), Bulbthings | 5 Oct 2026 |
| Enterprise | $18,000, or custom quote | 20 | 10,000 | $900 a year | Asset Panda (archived), Bulbthings; "custom quote" per Asset Management for Jira | 5 Oct 2026 |
| Collaborator seat (view records, submit forms) | $120 per seat | n/a | n/a | n/a | Asset Panda (archived), Bulbthings | 5 Oct 2026 |
How to read the table:
- Plan prices, minimums, asset caps and the collaborator seat come from Asset Panda's own pricing page as archived on 26 February 2026. It said "Asset Panda pricing starts at $3,000 per year for the Starter plan ($50 per user)" and that all plans are billed annually.
- Extra full users are third-party reports. Bulbthings (April 2026) lists $600, $720 and $900 per extra user per year and cites an Asset Panda help page. That help page returned a "page not found" error when we checked on 5 October 2026.
- Enterprise is where sources disagree. The archived Asset Panda page and Bulbthings both say $18,000 a year for 20 users. Asset Management for Jira (updated January 2026) says Enterprise needs a custom quote.
- Per-user framing. Asset Management for Jira describes Starter as $50 per user per month and Business+ as $60 per user per month, both billed annually. That matches $3,000 for 5 users and $7,200 for 10 users.
Bulbthings also reports extra asset blocks at $0.50 (Starter), $0.75 (Business+) and $1.00 (Enterprise) per asset per year. We found no Asset Panda page that confirms these today.
What real buyers report paying
Vendr, which handles software purchases for companies, publishes anonymized deal data. Its Asset Panda page (last updated February 2026) says the median buyer pays $3,427 per year, based on 44 purchases, with a low of $1,570 and a high of $10,345.
That median sits close to the $3,000 Starter list price.
Vendr's write-up uses tier names that do not match Asset Panda's own archived page, so we use only its deal data and its onboarding range here.
What is not in the sticker price
Four things move the real number away from the plan price.
- Annual billing only. The archived Asset Panda page said all plans are billed annually. Bulbthings also reports no monthly option. You pay the year up front.
- Seat minimums. Starter requires 5 users, Business+ 10, Enterprise 20 (archived Asset Panda page). A team of 3 still pays for 5.
- Extra seats. Every full user above the minimum adds $600 to $900 a year, depending on the plan (Bulbthings). View-only collaborators cost $120 a year each (archived Asset Panda page).
- Onboarding. Sources disagree. Bulbthings says onboarding is included on Starter. Vendr says Asset Panda typically charges for onboarding and implementation, often quoted separately, at $2,000 to $15,000+ depending on complexity. Ask whether it is in your quote.
Asset caps matter too. If your asset count grows past the plan cap, you buy extra asset blocks or move up a plan, even when your team stays the same size.
Worked totals for three team shapes
These use the published and reported list prices above. They exclude onboarding, tax and any discount you negotiate. Real quotes will differ.
1. A 5-person IT team, 800 laptops and monitors
- Starter fits: 5 users, under 1,000 assets.
- Total: $3,000 per year.
- If you need the Intune, Jamf or Jira connectors, Bulbthings reports that integrations and API access start on Business+. That plan has a 10-user minimum, so you pay for 10 seats: $7,200 per year.
- If onboarding is quoted separately, Vendr's range adds $2,000 to $15,000+ in year one.
2. A school media department: 3 staff, 40 students who check gear out, 600 items
- Starter has a 5-user minimum, so 3 staff still cost the full $3,000.
- The archived Asset Panda page says collaborators can view records and submit forms such as check-in and check-out. So students can be collaborators: 40 × $120 = $4,800.
- Total: $3,000 + $4,800 = $7,800 per year.
- If students need full user access instead (to edit records), you need 43 users: 38 extra × $600 = $22,800, plus $3,000. Total: $25,800 per year.
3. A field team across 20 sites: 20 site leads with full access, 3,000 assets
Three ways to price it:
| Route | Arithmetic | Annual total |
|---|---|---|
| Starter + extras | $3,000 + (15 extra users × $600) + (2,000 extra assets × $0.50) | $13,000 |
| Business+ + extras | $7,200 + (10 extra users × $720) | $14,400 |
| Enterprise | $18,000 covers 20 users and 10,000 assets | $18,000 |
Bulbthings reports that integrations sit on Business+ and that mobile offline mode sits on Enterprise. A field team that works without signal may need Enterprise, so plan for $18,000 per year before onboarding.

What Asset Panda does well
The price buys real depth. Asset Panda is a good fit when you need these:
- Deep template configuration. You define your own fields, statuses, forms and actions without code. Few tools in the category are this configurable.
- Compliance and audit workflows. Detailed audit trails, inspections and audit-readiness features suit government, healthcare and regulated teams.
- Broad industry coverage. Its site has dedicated pages for local government, public works, fire and police, K-12 and higher education, healthcare, industrial, and energy and utilities teams.
- IT integrations. Bulbthings lists Microsoft Intune, Jamf Pro, Zendesk, Jira and ServiceNow on Business+.
- Offline mobile mode and Ursa AI on Enterprise, per Bulbthings.
- Strong reviews. Capterra shows 4.6 out of 5 from 1,370 reviews (checked 5 October 2026).
If your organization needs a fully custom data model or formal compliance reporting, Asset Panda is built for that, and the price reflects it.
How Shelf prices the same three teams
Shelf publishes its prices on /pricing (checked 5 October 2026):
- Personal (Free): $0, 1 user, unlimited assets, custody tracking, 3 custom fields.
- Plus: $34 per month or $190 per year, 1 user, unlimited custom fields.
- Team: $67 per month or $370 per year. Unlimited users and unlimited assets. Bookings and reservations start on Team.
- Audits add-on: $37 per month on Team.
- Enterprise: custom.
Team comes with a 7-day free trial, no credit card. Shelf is open source, so you can also self-host it.
Applied to the same teams:
| Team | Asset Panda (list, before onboarding) | Shelf |
|---|---|---|
| 5-person IT team, 800 assets | $3,000 a year (Starter); $7,200 with integrations (Business+) | Team: $370 a year billed yearly, or $67 a month |
| School media: 3 staff + 40 students | $7,800 a year (students as collaborators) | Team: $370 a year. All 43 people are users; bookings included |
| 20 sites, 20 leads, 3,000 assets | $13,000 to $18,000 a year | Team: $370 a year, one workspace with 20 locations. Add Audits at $37 a month if you need them |
One note on the 20-site case: each Shelf Team workspace is its own subscription. If every site wants a fully separate workspace rather than one shared workspace with locations, that is 20 × $370 = $7,400 a year.
The honest trade-off. Shelf gives you fixed, ready-made workflows (custody, bookings, kits, audits, locations) plus custom fields. It does not give you Asset Panda's fully configurable templates. Shelf has no built-in Intune, Jira, Zendesk or ServiceNow connector, and it does not do depreciation accounting. If those are requirements, Asset Panda's higher price may be worth it. If your team mostly needs to know who has what, where it is, and when it comes back, you are paying for configuration you will not use.
