Subscribe Your Calendar to Shelf Bookings
Connect Google Calendar, Apple Calendar, or Outlook to a live feed of your Shelf bookings via a secret URL, so reservations appear in the calendar you already use and stay up to date automatically.

Keep Your Bookings in the Calendar You Already Use
Instead of exporting bookings one at a time, you can subscribe your everyday calendar (Google Calendar, Apple Calendar, Outlook, or any RFC-compliant calendar app) to a live feed of your Shelf bookings. Once connected, your reservations show up alongside your other events and stay updated automatically — when a booking is added, moved, or cancelled in Shelf, your calendar reflects it the next time it refreshes.
The feed is one-way and read-only: it publishes your Shelf bookings into your calendar. It does not create or change bookings from your calendar app, and it never exposes your Shelf login — access is granted through a secret feed URL that only you generate.
Not the same as "Add to Calendar." The Add to Calendar button on an individual booking downloads a one-off
.icsfile for that single event. The calendar subscription described here is a live feed of all your bookings that keeps refreshing on its own. Use the subscription when you want your bookings to stay in sync without re-exporting.
How to Subscribe
Step 1: Open your calendar feed
Go to the Calendar page and click Subscribe, or open Account Settings → Calendars. Either opens the Subscribe to your booking calendar dialog, which shows your personal secret feed URL.
Step 2: Add the feed to your calendar app
Copy the feed URL, then add it in your calendar app:
- Apple Calendar & Outlook: Use the
webcal://link — most systems add the calendar in one click when you open it. - Google Calendar: Go to Other calendars → From URL, paste the feed URL, and click Add calendar.
- Any other app: Add a new subscribed/internet calendar and paste the feed URL.
Your bookings appear within a few minutes and refresh automatically on your calendar app's own schedule (Google, Apple, and Outlook each poll subscribed calendars on their own timing).
What the Feed Includes
- Confirmed bookings only — reserved, ongoing, overdue, and completed bookings. Drafts, cancelled, and archived bookings are excluded.
- A rolling window — roughly the last month through one year ahead, so your calendar stays focused on relevant reservations.
- Booking details — each event carries the booking's dates and a direct link back to the booking in Shelf.
Whose bookings show up
The feed mirrors exactly what you can see on Shelf's in-app Calendar:
- If your role lets you see all workspace bookings (for example, an Administrator), the feed includes the whole workspace. This means an admin can publish a shared team calendar for everyone to subscribe to.
- If you're a Self service or Base member, the feed includes only your own bookings. Custodian names for bookings you aren't entitled to see are hidden.
Keeping the Feed Secure
The feed URL is a secret — anyone who has it can see the bookings in your feed, so treat it like a password. Don't post it publicly.
From the Subscribe dialog you can:
- Regenerate the URL — this issues a new link and immediately stops the old one from working. Use it if a link was shared by mistake. You'll need to update the URL in any calendar app that was subscribed to the old feed.
- Stop sharing — this revokes the feed entirely, so no calendar can pull it until you generate a new one.
Availability
The calendar subscription feed is free for all Team workspaces. Because bookings are a Team feature, any workspace using bookings already has access.
